Stockingstone Road Allotment Association Privacy Policy

The data that The Stockingstone Road Allotment Association (SRAA)  collects, stores and processes is limited to the contact details of members, prospective members (on the waiting list) and former members who have recently given up their allotments.

We will hold the information listed below on file for the duration of your tenancy.

  • Name
  • Postal address
  • Landline number and/or mobile number
  • Email address
  • Allotment plot number
  • Allotment plot rent account

This information is stored electronically in the Allotment Management System managed by Luton Borough Council.  The SRAA Secretary has access to the system and the data will be used only  for the purpose of managing the administration of the SRAA. The Secretary, Chairperson and Treasurer will have access to the information.  Individual members may be contacted for legitimate reasons, for example, SRAA events, damage to an allotment or shed, the plot is being neglected or other reasonable purposes.

Contact information on former members will be stored for a reasonable time in case they need to be contacted about any matters pertaining to their plots. SRAA members’ data is only shared with Luton Borough Council. It will not be shared with other individuals or organisations.

Members are advised to inform the Association if  any of their personal details  change so that information is kept up to date and members can be kept  informed about SRAA activities.

Individual members are welcome to ask for details about any of the  information the SRAA holds on them. Please email stockingstoneroadallotments@gmail.com with your plot number in the subject line.

Newsletter – Mailchimp

The SRAA publishes a quarterly electronic newsletter via mailchimp.com When you sign your tenancy agreement you will be invited to join the newsletter mailing list. Only your email address is held in the mailchimp system. No personal data is stored in Mailchimp.

Social Media – WhatsApp group

The SRAA has a WhatsApp group for everyone who works a plot at the Stockingstone Road Allotment Association site.  It lets plot-holders share information about important allotment-related matters quickly and helps us support each other in our gardening work.  When you sign your tenancy you will be given the option to join the group. We may update our Privacy Policy from time to time. We advise you to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page. These changes are effective immediately, after they are posted on this page.

Tenancy Agreement – Data held by Luton Borough Council (LBC)

The Stockingstone Road Allotment Association works together with Luton Borough Council to manage the allotment site. LBC, as landlord, sets the tenancy agreement. When you become all plot holder you are required to sign an “Allotment Data Form” issued by the Council. LBC holds the same data as the SRAA. When a plot holder ends their tenancy and the data is not required any longer it is archived and kept for 7 years by Luton Borough Council.
